May 20, 2008
Meeting opened with prayer.
Minutes of the March Board meeting were approved. There were no minutes for April.
- Treasurer’s Report was accepted & approved. Treasurer is seeking cost estimates on our insurance. Tax return for 2006-2007 has been submitted.
- Board voted to approve two new Board members: Sharon Slade and David Pagan.
- Fundraising Comm.
1) Heard report on the Big Band Dinner Dance
2) Heard a report on a partnership with Tastefully Simple. Approved by Board.
3) Discussed participating in the Orange County Fair, the Orange Street Festival, the Montpelier Wine Festival.
- Building Comm:
1) Verdiersville house completed.
2) Gordonsville house sold & closed.
3) Offer of landscaping (labor and materials) on our next house by the Orange Rotary Club. Enthusiastically accepted.
4) Discussed lot on Independence. Will need to get the lot cleared, get a Health Dept. permit.
5) Discussed the 38 acre tract and how to proceed with that.
- Family Support:
Discussed delinquent mortgages, particularly two that have been long-standing problems.
- Train the Trainers: discussed who may be able to attend the next training sessions.
- Thanked a friend of the Board who set up a table at the LOW Church mission fair.
- Accepted a donation from a Board member.
- Discussed holding Board meetings on a different day. Voted to hold future Board meetings on the 1st Tuesday of each month.

1. Heard a report on two service days by students at Woodberry Forest School.
2. Discussed Gordonsville house & progress on getting liens forgiven or reduced before the house can be sold.
3. Discussed the house on Verdiersville Rd. Hope to have the O.P. by next week.
4. Discussed forming a Nominating Committee.
5. Heard a fund raising idea and will pursue it for more information.
6. Heard correspondence from EarthCraft funders.
Next meeting will be Monday, May 12.

Meeting was opened with prayer.
- Minutes of the February meeting were submitted.
- Treasurer submitted report and Board had a brief discussion on finances and bills.
- Family Support Committee Report:
- Received an up-date on families that are delinquent on mortgages.
- No information available from our attorney about the policy tentatively adopted in February.
- Heard an up-date on one of our partner families that has been quite ill and recently approved for disability.
- Volunteers: heard an up-date on the Woodberry Forest School service day, scheduled for March 30.
- No information available on the VHDA Train the Trainers workshops.
New Business:
- Introduced a potential new Board member.
- Noted that concrete has been donated.
- Heard a request by Bethlehem United Methodist Church to write our meeting dates on their calendar in the social hall.
- Heard a report on the house in Gordonsville: Lender is requiring a new survey which is holding up the closing.

Feb. 11, 2008
- Meeting was opened with prayer.
- Minutes of the January meeting were approved.
- Treasurers’ Report was accepted & approved.
- Progress on the Big Band Dinner Dance was shared. It will be on Saturday, March 29 at L.O.W. Clubhouse.
- Report on the Gordonsville house: offer received & accepted. Closing scheduled for 2-28.
- Family Selection Report: heard up-date on living arrangements of our next partner family.
- Heard an up-date on last Verdiersville house.
- Discussed and adopted a policy on dealing with mortgage delinquencies. Said policy will be reviewed by an attorney before final adoption.
- Also discussed current mortgages that are delinquent and decided on an action plan for each.
- Heard an offer by a Board member to help out in the office if needed.
- Made initial plans to build this summer on our lot on Independence Road. This will be our first Earthcraft approved home.Heard a progress report on the up-coming Woodberry Forest service day.

- Treasurer’s Report was accepted & approved.
- Fundraising Committee:
Received up-date on plans for the Mar. 29 Big Band Dinner Dance.
Discussed other ideas for fundraisers.
- Site Selection:
- Gordonsville house has been shown & the person is interested.
- The lot on Independence has been taken off the market.
- Family Selection Committee:
- Heard an up-date regarding our next partner family. Their apartment is being demolished & they need to move by the end of January.
- Family Support:
- Heard a report on several families with delinquent mortgages & plans to repair that problem.
- Discussed the need for someone to go the training on homeowner education.
- Up-Date on 38 acres:
- Discussed possibilities re: getting the road built.
- Working still on ROW paperwork.
- House on Verdiersville Rd.: not yet completed, but getting close.
- Board accepted, with regret, the resignation of one Board member.
- Board heard an offer of a service work day from boys at Woodberry Forest School.

November 12, 2007
- Meeting was opened with prayer.
- Minutes of the October meeting were accepted as submitted.
- Treasurer’s Report was accepted & approved. Discussion about our tithe to Habitat International and Treasurer was directed to send a check to reflect 10% of our 1st quarter income to support Habitat work around the world.
A reminder than we are still in need of an auditor.
- On the acknowledgement of gifts: Board voted to have all future acknowledgements (for events) to reflect the contribution minus the value of any goods or services received.
- Big Band Dinner Dance: March 29 at LOW
- Gordonsville house and lot on Independence still on the market. Discussion held about the feasibility of selling the Gordonsville house to our partner family that is next up for a house. No decision made, pending more information.
- CDBG grant: meeting this week with the Board of Supervisors seeking their support for this grant to help with infrastructure costs.
- 38 acres Up-date: Closing on this land will take place this month.
- Brief discussion about the feasibility of hiring a part-time ED. Lack of available funding cut the discussion short.
- Newsletter: Fall 07 newsletter should go out in early December.
- A new Board member was approved.

October 8, 2007
- Meeting was opened with prayer.
- Minutes of the September meeting were corrected & approved.
- Treasurer’s Report was accepted & approved.
- Spring Dinner Dance will be held on March 29 at LOW Clubhouse.
- Discussed the importance of acknowledging all gifts to Habitat, and how to assure that is done in a timely manner.
- Up-Date on the 38 acres: legal paperwork is still an issue, and the Board voted to give until Oct. 31 to get this paperwork signed by all parties. The Board of Supervisors did not make a decision on our request to support a CDBG grant to help with infrastructure expenses.
- Gordonsville house has been put on the market. The lot on Independence is also on the market.
- A new Organizational Policy Handbook has been distributed by Habitat International. It will be passed around for all Board members to read. There is also a new Affiliate Agreement to be read over & considered.
- Noted that there is a Fall Wine Festival on October 27, and some discussion about setting up an information booth at that event.
- Some discussion about the Builder’s Blitz next summer (08) and using the Green Building funds for the house that we hope to build then.

Minutes
June 6, 2007
- The Board meeting was opened with prayer.
- The minutes of the May meeting were approved.
- The Treasurer’s Report was accepted.
- A draft budget for the coming year was distributed.
- The Board discussed how our 0% mortgages work for partner families. The first mortgage reflects the sale price of the house; the second covers the difference between that sale price and the appraised value of the house. If there is a third mortgage, it is security for down payment assistance that is sometimes available.
- The Treasurer reminded the Board that we continue to service 7 mortgages. All other mortgages are serviced by VHDA. All taxes on our 7 mortgages have been paid.
- New assessments are being sent to all homeowners, and the monthly payment amount is being adjusted in light of the new assessments for the 7 mortgages we service.
- Introduction of a potential Board member. No action taken.
- Family Support Committee:
- Treasurer reported that one payoff has been received, and that the two families who were behind on their mortgage are making payments to catch up.
- Heard a report on Mission Sunday at LOW Church.
- Construction Committee: Heard an up-date on work at the Gordonsville house.
- Had a discussion about our meeting day, and whether another day of the week would work better for some Board members. A poll of Board members will be taken.
- Nominating Committee: Heard a report about terms of office, whose term has expired, and noted that the By-Laws call for at least 12 but not more than 14 Board members.

May 1, 2007
Meeting was opened with prayer.
Minutes of the April meeting were approved. Financial report accepted.
Family Support: received an up-date on 3 current homeowners: one who died, one who is seriously ill, and one who has fallen behind on mortgage payments.
Fundraising:
- Spring Golf Tournament: Will be on Wed., June 6 at Meadows. Please note that it will be an 8am start (not 12 noon as previously planned). Will also raffle off a weekend at Solomon’s Island, Md.
- Bike Rally: no report available. Turn-out was low.
- SHOP survey & Builders Blitz application have both been submitted.
- Heard a proposal for a house raffle as a fundraiser. More information needed.
Construction:
- Pricing out materials for next house.
- Volunteers are lined up to work on the Gordonsville house this weekend. We need to finish painting the interior, washing the exterior, & some yard work. After that, floor covering can be installed and the house will be ready.
Site Selection:
- Progress made on obtaining the 38 acres. Plans need to be approved by VDOT & the County.
- Directed the Treasurer to pay the surveyors for their work on this.
- Discussed funds needed for the closing on this property.
Nominating: will be asked to report to the Board about terms about to expire.

April 3, 2007
Meeting was opened with prayer.
- Minutes of March meeting approved.
- No financial report available.
- Big Band Dinner Dance was well attended and fun for all. Special thanks to Sam Patrick for her work on this event.
- Spring Golf Tournament has been changed to Wednesday, June 6 at Meadows. It will be a 12 noon shotgun start. Food will be provided by Clearwater Grill, and Reynolds will provide the Hole in One car.
- Bike Rally: Coming up on April 29. Final details discussed.
- Gordonsville house: work still needed. Several volunteer crews are lined up.
- Up-Date on 38 acres: Owner of the 38 acres and owner of the ROW are meeting with their attorney tonight to sign the plats. After approval by VDOT, then they will go to Orange County for approval.
- Board President will be meeting with the County Administrator, and also with each member of the Board of Supervisors to discuss this project.
- A firm has been contacted about doing an audit.
- The Orange Rotary Club will be providing funds for our next well. A Board member will talk with them at their meeting next week.
- Office coverage: Volunteers have stepped up to cover the phone and emails at the office. We really appreciate the work these volunteers do for OCHFH.
- Board decided to list for sale one lot owned on Independence.
- Board decided to go forward with materials to get the next house under roof.

Minutes of March 6, 2007
Meeting was opened with prayer.
- Minutes of Feb. meeting approved.
- Financial report approved.
- Tax return has been completed & mailed.
- Home Owner Education Class was held in Feb. Three families attended. Next class will be on credit issues. A “teacher” or leader for this class is needed. Materials provided. Contact Habitat office if interested.
- Board member attended the Habitat VA training and shared information from that training.
- Gordonsville house ready to be painted. Work day this coming Saturday.
- Big Band Dinner Dance on Saturday, March 31 at LOW Clubhouse. Reservations still available.
- Bike Rally/Poker Run on Sunday, April 29. Donations of prizes still needed.
- Golf Tournament on Wednesday, May 9.
- Discussion of Quality Assurance Building Blocks and the new Policy Handbook from Habitat International. Board signed a Covenant Agreement with Habitat International (this is a yearly commitment).
- Earthcraft Training will be March 13.
- Reminder that all Board members are committed to financial support of OCHFH. Send donations to the office address.
- Discussion of an approved family that has undertaken several bake sales to benefit OCHFH. They raised $808. Part of the funds raised will go towards their down payment.
- Tax return was prepared by a Board member. Bylaws allow reasonable compensation for services rendered by Board members. Board approved a reasonable compensation for this service and found no conflict of interest.
- Continued discussion on details of purchasing a large tract of land. Discussed next steps in applying for a Community Development Block Grant to help with the development of this land.
- Heard from Greater Fredericksburg HFH about their aluminum can recycling program.
- Received a letter of resignation from Executive Director.

Construction Comm:
Thanks to PermaTreat for donating termite treatment for our next house.
Thanks to Virginia Soil & Septic for a substantial discount on drainfield work EarthCraft House Training/Better by Design Grant: Orange Co. HFH has been chosen to receive a grant from Better by Design. Training will be provided to help us meet the goals of the grant. Board stated their commitment to "green" building and to building houses that are energy efficienct and have minimal environmental impact.
